Hosting an outdoor watch party is a great way to bring people together for sports, movies, concerts, or gaming on a big screen. With a high resolution 17 by 10 foot LED screen the experience becomes immersive and genuinely memorable. Whether you are planning a backyard gathering or a community event, here is what it takes.
Step 1Choose the locationThe right spot sets the tone. Look for a flat, open area with good sight lines, a backyard or a local park. Make sure there is access to power or room for a generator.
Our LED screens include a quiet diesel generator, or we can connect to 220V single-phase shore power for noise-sensitive venues.
Step 2Pick the right contentMatch what is on screen to your audience. Major sports events, outdoor movie nights, show premieres and finales, video game tournaments, and live or streamed concerts all work well. The more tailored the content, the more excited your guests will be.
Step 3Handle permits and licensingBefore you promote the event, make sure you have permission to use the space, proper content licensing for movies or sports, and any permits that apply. We provide a mounted fire extinguisher for compliance, and consulting to walk you through this step.
Step 4Design the setupLay it out for viewing, comfort, and flow. Place the screen securely and clear of trees, buildings, and poles. Our screens have built-in speakers powerful enough for most environments, and we can connect to your own audio with standard cables. For seating, lawn chairs, blankets, and bean bags all work, arranged in rows or zones depending on crowd size.
Step 5Prepare for the elementsWeather is always a factor outdoors. Check the forecast and keep tents or canopies on standby. In warm months provide shade and hydration, and on cooler evenings offer ponchos or blankets.
Step 6Feed peopleNo watch party is complete without snacks. Popcorn, nachos, hot dogs, and candy are reliable. Add coolers with soft drinks or mocktails, and for larger events consider food trucks or local vendors.
Step 7Set the moodSimple touches make it feel like an event. String lights, lanterns, or LED strips, themed decor, and a photo backdrop that encourages people to share.
Step 8Test everything in advanceDo not leave setup to the last minute. Test the screen and content, audio levels and direction, the power source or generator, and lighting, seating, and backup gear. We always handle testing and setup of the screen ahead of showtime.
Step 9Build excitementGet the word out with a Facebook or ticketing page, invitations by email or text, and RSVPs so you can plan. Teaser content and countdown posts help. We can set up registration if you want attendees to sign up, free or paid.
Step 10Enjoy the showOnce it kicks off, your job is to enjoy it. With the right prep and an experienced AV partner your guests will be immersed in the action. Capture some of your own content while you are at it, for social and future promotion.
Make it easy, make it unforgettable
