How to Throw an Unforgettable Outdoor Watch Party

The location sets the stage for your event. Look for a spacious, flat area with good visibility and minimal obstructions. Your backyard, a local park, or even a rooftop can be excellent choices. Ensure the location has access to power for your LED screen and other equipment. Our screens do have their own integrated power via a diesel generator. The generator is enclosed and the speakers more than cover the sound but if you would like no generator noise at your event we can hook up to 220v single phase shore power as well.
Step 2: Select the Right Event
What you’re watching is just as important as where you’re watching it. Consider popular options like major sports events, movie nights, TV show premieres, or even video game tournaments. Knowing your audience’s preferences will help you choose the best content for your watch party.
Step 3: Plan Your Setup
- Permitting and Licensing. Make sure you secure any applicable permits needed including permits for a diesel generator if you are using our integrated power supply (we have a full service fire extinguisher installed next to the screen if that is needed for your permit). You’ll need to also make sure you have a the proper permissions and licensing to show the content you want displayed on the screen. We can help you with that as well!
- Screen and Projector: With a 17×10 foot LED outdoor screen, you have the advantage of a high-quality display that works well even in daylight. Ensure your screen rental is securely set up and positioned for optimal viewing.
- Sound System: A powerful sound system is crucial for an immersive experience. Position speakers strategically to ensure clear and balanced audio for everyone. Our screens have integrated speakers that provide plenty of sound for an audio experience and we can hook into your existing audio system as well through a few commonly used audio cables.
- Seating Arrangements: Provide comfortable seating options like lounge chairs, blankets, and bean bags. Arrange them in a way that offers everyone a good view of the screen.
Step 4: Prepare for the Elements
Outdoor events require some weatherproofing. Check the weather forecast in advance and have contingency plans like tents or canopies for unexpected rain. In hot weather, provide shade and hydration options to keep guests comfortable.
Step 5: Organize Food and Drinks
No watch party is complete without delicious snacks and beverages. Consider setting up a food station with a variety of options like popcorn, nachos, hot dogs, and soft drinks. For a more upscale event, you could even hire a food truck or caterer.
