Privacy policy

Information you give us. When you complete a form on the Site we collect what that form asks for. Depending on the form, that can include your name, email address, phone number, organization name and website, and details about your event: its name, date, street address, venue or city, website, expected number of participants, distances, the services you are interested in, and anything you tell us in your own words. Estimates you build also record what you selected, including timing package, registration option, screen hours, cameras, video assets, equipment, printing and staffing, and the estimated total. Each form tells you what it is for.

What we do with it. We use what a form collects for the thing that form is for, and nothing else. Details you give us to set up or run your registration are used to set up and run your registration; they do not become marketing unless you tick the box asking for it.

Contact details for other people. Some forms ask for a race contact or race director email address so we can set your event up. If you give us someone else's details, please make sure they are happy for you to do that. We use them only to run the event you asked us to work on.

Email preferences. If you sign up for our emails we collect your name, your email address, and which of our lists you chose. We keep that choice so we only send you what you asked for, and so you can change it later.

Sponsorship enquiries. If you ask about sponsoring one of our events, or request the full benefit breakdown for one of them, we collect your name, your company, your work email address, a phone number if you give one, which events interest you, and which level or role you are considering. If you tell us about your goals or your budget in your own words, we keep that too, so the person who follows up has read it before they reply.

Information collected automatically. When you visit the Site we collect limited technical information: the pages you view, the site or search that referred you, your general region, your browser and device type, and page loading speed. We use a privacy-focused analytics tool that does not use cookies and does not follow you across other websites. Loading speed is measured by the Site itself rather than by that tool, and those measurements carry only the page address, a timing number, and whether the screen is phone, tablet, or desktop sized.

Actions we count. The same tool counts a few actions as well as page views, such as a form being sent or a link out to a donation page. For a fund application we record that one was submitted and which event it was for. What you wrote in the form is never part of that, and none of it is tied to you.

What you search for. If you use the search box on this Site, or on the results and upcoming events pages, we record the words you typed and how many matches came back. We use it to find what people expect to be here and cannot find. It is not tied to you, and there is no need to put anything personal into a search box for it to work.

Information saved in your browser. The estimator saves your progress in your own browser so you can come back to it. That information stays on your device until you clear it or select "Start over", and it is not sent to us unless you submit the estimate.

We use the information you give us to answer your question, prepare quotes, deliver services, review applications to the Athlete First Fund and the crew, and send you the emails you asked for. We also use it to:

We use the Device Information we collect to help us screen for potential risk and fraud, in particular your IP address, and more generally to improve and optimize the Site. That includes generating analytics about how customers browse and interact with the Site, and assessing how well our marketing and advertising is working.

Applying to the Athlete First Fund asks for more than the rest of the Site does, so it gets its own rules.

What we collect. The participant's name, date of birth, gender, city and state, email address, and phone number; a parent or guardian's name when the participant is a minor; the event you are applying for; your annual household income range; how much of the entry fee you can cover; and anything you choose to tell us in your own words.

What we use it for. Deciding assistance awards, and nothing else. The financial information tells us how many athletes we can support and how to divide the fund.

Who sees it. Applications are reviewed by the race team, a small group at Negative Split Productions. We do not share your application, your financial information, or the fact that you applied with event staff, volunteers, sponsors, or other participants. If you are awarded assistance, everyone working the event sees a registration like any other.

Testimonials. The application asks whether you would share a testimonial after the event. Your answer has no effect on whether assistance is awarded, and we will not publish anything about you without asking you first.

What we publish. We publish a running total for the fund on the Athlete First page: how much has gone to entry fees, how many athletes that covered, and what is left. Those are totals only. We never publish names, applications, or anything that would identify who received assistance.

The Site is written for adults, and we do not knowingly collect personal information directly from children under 13.

The one place we collect information about a minor is an Athlete First Fund application for a youth event. That application must be submitted by a parent or legal guardian, who gives their own name as part of it. Participation in the Houston Kids Triathlon is limited to ages 6 to 17.

Registering a minor for one of our events happens on RunSignup, not on this Site.

If you believe a child has given us information without a parent's involvement, email support@mynegativesplit.com and we will delete it.

Applying to join the crew reaches us through Corral, our internal operations platform. We collect your name, email address and phone number, the part of town you are in, the roles you are interested in, your availability, and anything else you choose to tell us. We use them to review your application, contact you about work, and schedule you if you join the crew. The form is for people 18 or older.

We keep applications whether or not we bring you on, because our staffing needs change through the year and we would rather come back to you than ask you to apply again. Email support@mynegativesplit.com to have your application removed.

We do not sell your personal information, and we do not share it for advertising.

We work with a small number of service providers who handle information on our behalf: website hosting, privacy-focused analytics, email delivery, and Corral, our own operations platform. They may only use your information to provide that service to us. Email support@mynegativesplit.com if you want the current list.

Registration and results for our events are handled by RunSignup under its own privacy policy. Links from this Site to RunSignup, One Tree Planted, or any other outside site take you to a service we do not control.

If you sign up for our emails, your name, email address and list choices are also held in RunSignup, which is the tool we send those emails from.

Beyond that, we share information only to comply with the law, to respond to a subpoena, search warrant, or other lawful request, or to protect our rights.

104.1 KRBE. The sponsorship enquiry form has an optional tick box asking whether you are also interested in marketing through our media partner, 104.1 KRBE. If you tick it, we pass your name, company and contact details to KRBE so they can follow up. If you leave it unticked, we do not.

Our operations platform. Sponsorship enquiries are sent from your browser directly to Corral, our own operations platform, which runs on corralapp.co. Corral is ours, not a third party service, and sponsorship enquiries are held there rather than in the systems that hold participant records.

Athlete First Fund applications are kept through the event season you applied for and one year after, so we can handle renewals and report on the fund. The income and household details are deleted at the end of that period, and you can ask us to delete your application sooner at any time.

Crew applications are kept until you ask us to remove them.

Quote requests, estimates, and client records are kept for as long as we are working together and for as long as our accounting and tax obligations require. Newsletter subscriptions are kept until you unsubscribe.

Requests to set up or run your registration, and the event details that come with them, are kept as client records for as long as we are working on that event and for as long as our accounting and tax obligations require. General enquiries that do not become work are kept for two years and then deleted.

Sponsorship enquiries and requests for a benefit breakdown are kept for as long as we are in conversation with you, and for three years after, because sponsorship runs on an annual cycle and a brand that passes one year is often the right partner the next. You can ask us to delete yours at any time.

Email. Every marketing email we send has an unsubscribe link at the bottom. Our newsletter and event emails go out through RunSignup, so unsubscribing there stops them. You can also update which lists you are on at any time on our newsletter page. We will still send the operational messages you asked for, like a reply to your question or details about an event you registered for.

Your information. Email support@mynegativesplit.com to ask what we hold about you, to correct it, or to have it deleted. We respond within 30 days. We may need to keep some records to meet legal and accounting obligations.

Analytics. Our analytics tool does not use cookies and does not follow you across other websites, so there is nothing to opt out of.

We may update this privacy policy from time to time to reflect changes to our practices, or for other operational, legal, or regulatory reasons. When we make a change, we update the date at the top of this page.
